Your Gigs tab is your home base and the central point from where you can manage all of your gigs. The easy to use table interface is familiar, but under the hood we’ve packed tons of powerful, new features!

Status Bar: Active

The gig status bar at the top starts off by showing you all ACTIVE gig statuses, including:

  • Draft (needs approval or agency assignment, if applicable)
  • Upcoming (future gigs)
  • Live (today’s gigs)
  • Review (recently completed gigs).
  • Beneath each group status you will see a variety of individual sub-status items, such as Approve Request, Staff Talent, or Verify Report. These labels differ slightly based on who you are (LEARN MORE). Priority items are those that require your immediate attention and are highlighted in red. Click on any status to filter the gigs table below to view only those gigs that match!

Client View (program owner when working with an agency):

Agency/Solo Client View (talent owner):

The next thing you’ll notice is a number of gigs that match your filters. This lets you know how many gigs appear in the table with the current filters applied. Those filters appear in green pills and are detailed below.

Status Bar: Finished

Once you click into Finished gigs, you will find two primary states: Pending and Paid.

  • Pending: These are Verified or Cancelled gigs that should be paid. You can review each gig in more detail and 'Mark as Paid' or 'Will Not Pay'. Anything marked as paid will move to the next section of 'Paid'. If you hit will not pay, the gig will be moved to the Trash.
  • Invoiced: These are verified and cancelled gigs that have been marked as invoiced. They will appear in your financial reports tab.

Note: If you are a client/agency combination using PINATA full service management, this section has no action required from you. When PINATA invoices each month, we will mark as 'Invoiced' the gigs for the prior month.

Download -
The download button will download as CSV of all your gigs that match your current view. This means, if you've filtered by certain dates or status labels for example, the gigs shown in your table results on the page will be the same as those downloaded.

Edit Filters - This green button mimics all of the filters available at the top of your gigs table. We'll dive into those below.

Filters - In Detail

You can filter every column as desired by clicking the column header. Once a header is green, this means a filter is applied. All filters that you apply will be listed above the status bar as green pills/bubbles so it's easy to see what you're filtering. If you want to remove a single filter, you can also hit the "x" icon inside any green filter pill.

Status: Filter options for gig states. To learn more about each gig state, click here.

: Choose a custom range, or by month(s). You can also optionally choose to include gigs without dates by toggling the green slider next to Apply.

: You can search keyword (such as all locations containing the words “Whole Foods”), use locations to select one or many of your saved locations, or a radius search from a geographic location.

: Use the contact filter to find gigs from different members of your team. Note, by default, the gig creator is the owner (though that can be changed after a gig is created). You can also search by company which filters contacts by company. This is particularly useful for agencies or distributors to sort results by specific organizations who have created programs or gigs.

: You can select one or many programs, or select one or many products to see which gigs contain those products. NOTE: This program filter is similar to the top-level program filter at the top of the page. If you’re looking for archived programs, please select them from the top instead of this filter.

Talent: This filter allows you to search for gigs by assigned Talent or Company (such as the agency responsible for the gig). Note, this Company filter will show only those companies who are responsible for staffing talent.

Clearing Filters

You can click the “x” arrow to the right to clear that specific filter at any time. If you want to clear all filters, simply click “Reset All” above or the large “x” on the far right of the headers. It will highlight red when you click it.

You can now edit any part of the gig by hovering over an individual field within a row. Once the blue pencil appears, simply click and you can edit the contents of that field specifically. Hit save and the change is made!

Here's a helpful gif to show you:

Want to view more details about a gig? Simply click on the magnifying glass symbol on any row to view the full gig details.

Once you’re inside, you’ll see all the same fields as the table, as well as a few more additional details. Let’s get into those.

(In order from top left)

- At the top of the gig beneath the status bar, you will find the program and gig details. This section includes the Program Name (Beauty Demo Program Pro, above), Gig Title (Sephora above, which is typically the location name), Products (Beauty Product 1, 2, 3, etc. in blue pill form), Expense policy (if applicable), Gig Details (if applicable), and Agency Guidance (if applicable).

Date: Shows time, date, and time of the gig

Location: Shows location name and address of the gig, as well as city/state

Talent Company: Shows which company is responsible for managing the talent (typically your own if self-managed, or the agency if you’re working with one)

Assigned Talent: Shows the name of the talent assigned to the gig (or not assigned, if no one has yet)

Role: Shows the name of role used on the gig, bill rate, attire, and any other role-related information.

Report: Shows the report that will (or has been) asked. If the gig has not yet started, you will see no information entered. Once the report has been completed and verified, all report answers will be shown here.

Owner: Shows the owner/contact for the gig.

When you view a gig in a specific state, you can take a variety of associated actions. These actions are accessible on the right-hand side of the gig details and will default to the primary action on each gig.

For example, if a gig is 'Awaiting Verification' - the primary action will show you verify, return, and reject options. Alternatively, if the gig is awaiting manager approval, the primary action will show yes/no/tbd approval steps.

These actions are also available under the [...] icon directly from the gigs table.

You can now select multiple gigs at once and take group actions such as approve, delete, cancel, assign, etc. When doing so, be sure to select gigs within the same status (as you can’t mix different actions together across different states in one go!)

Here's a helpful gif to show you how it works:

Introducing the calendar view! You can now see all of your gigs in the calendar month at a glance by their gig status. By default, we will show the current month but feel free to click "Previous Month, Next Month, Today, or Jump To..." to find the month that suits your needs.

Today's date will be highlighted with a pink tab.

Click on the plus+magnifying glass icon to view details about gigs on any specific day. If you click the pointed star icon, it will create a new gig on that specific day. You can also click on any individual group, such as "Review 1" to view just the gigs that match that status on that day.

Note, when you click to filter on a specific day, we will redirect you to your Gigs tab and filter specifically to that day's gigs.

You can filter your Calendar view of gigs in the same way you filter the Gigs tab itself. This is particularly helpful if you need to sort by gigs worked this month by specific individuals or that sampled certain products. Apply as many as you want and feel free to mix and match!
